Privacy policy

Calgary Minds is a one-on-one math and physics tutoring service run by me, Rudra Brahmkshatriy, in Okotoks, Alberta. This policy explains what personal information I collect, why I collect it, and how I look after it. I follow Alberta’s Personal Information Protection Act (PIPA).

What I collect

When you fill in the contact form, call, text or email me, I collect what you choose to share:

• Your name, email address and phone number
• Your child’s grade, the subject they need help with, and whether you prefer online or in-person sessions
• How you heard about Calgary Minds, and anything you write in your message

Once tutoring starts, I also keep:

• Your child’s first name, school course and session notes, so I can plan lessons and track progress
• Session schedules and payment records
• For online sessions: the notes I write on during the session and, where you’ve agreed to it, a recording of the session that I share with you

I don’t collect more than I need to tutor your child, and I never ask for banking or card details through this website.

How I use it

• To reply to your enquiry and book your free first session
• To plan and run sessions, and to send you session notes, recordings and practice questions
• To schedule sessions, send invoices and keep basic business records
• To understand how families find Calgary Minds

I don’t sell, rent or trade your information, and I don’t use it for advertising.

Who I share it with

I only share your information with the services I use to run the business:

• This website (WordPress, hosted by my web provider), which stores contact form messages
• Google Workspace (email, Google Meet, Google Drive), which I use to communicate, run online sessions and store session notes and recordings

Some of these services may store information outside Canada. I’ll also share information if the law requires it.

About your child

I collect information about students from their parent or guardian. If your child contacts me directly, I’ll involve you before any sessions are booked. Recordings and notes from sessions are shared only with your family.

How long I keep it

I keep enquiry messages for up to 12 months if tutoring doesn’t go ahead. For students I tutor, I keep session notes and records while tutoring continues and for up to 2 years after, unless you ask me to delete them sooner. Financial records are kept as long as tax rules require.

How I protect it

I keep information in password-protected accounts with two-step verification turned on where available, and I limit access to myself.

Cookies and embedded content

This website uses only the cookies it needs to work. My intro video is embedded from YouTube in privacy-enhanced mode, so YouTube doesn’t set tracking cookies until you press play.

Your choices

You can ask me at any time to see the information I hold about you or your child, to correct it, or to delete it. You can also withdraw your consent to session recordings. Email rudra@calgaryminds.ca and I’ll respond within 30 days.

If you’re not satisfied with my answer, you can contact the Office of the Information and Privacy Commissioner of Alberta.
